1. Project Cancellations
Freelance Arena provides both Clients and Freelancers with options to manage their project engagements effectively. We recognize that circumstances can change unexpectedly, and our platform is designed to handle these changes smoothly while protecting both parties' interests.
(A) Client-Initiated Cancellations
Clients have the right to request a project cancellation at any point before the completion of agreed milestones or deliverables. This flexibility enables Clients to make adjustments if project requirements shift or unforeseen issues arise. To initiate a cancellation, Clients are encouraged to communicate directly with the Freelancer to discuss the situation, ensuring both parties are informed before submitting a formal cancellation request via the Freelance Arena platform.
If work has not yet started: When the cancellation occurs before any work has commenced, the Client is typically eligible for a full refund of funds held in escrow. This policy helps to ensure that Clients are not charged for services that were not initiated.
We aim to respect the investment of time and resources by both Clients and Freelancers. By following these procedures, Clients can navigate cancellations with minimal disruption and with clarity on potential refunds.
(B) Freelancer-Initiated Cancellations
Freelancers may find themselves in situations where they need to cancel a project due to unforeseen personal, health, or logistical challenges that prevent them from fulfilling their commitments. In such cases, Freelancers are expected to act responsibly by notifying both the Client and Freelance Arena as soon as possible and formally requesting the cancellation through the platform.
Refunds for Freelancer-Initiated Cancellations: If a Freelancer initiates the cancellation, the Client may be eligible for a full or partial refund, depending on the progress of the project and work already completed. Freelance Arena reviews the work status and issues refunds based on the level of completion and documented deliverables. In situations where the Client wishes to continue the project, Freelance Arena may assist in facilitating a replacement Freelancer to ensure continuity and meet project needs.
Our policies for Freelancer-initiated cancellations are designed to protect Clients from unexpected disruptions while allowing Freelancers to navigate unforeseen circumstances responsibly.
2. Refunds for Disputed Projects
Freelance Arena provides a dispute resolution service to address conflicts over completed work or payment issues.
Dispute Resolution: Both parties may submit evidence and supporting documentation for arbitration. Freelance Arena’s arbitrator will review the information and make a decision, which may include a full or partial refund if deemed appropriate.
Final Decision: The arbitrator’s decision is binding, and any refund or payment adjustment issued will be based on this outcome. Freelance Arena’s goal in arbitration is to ensure a fair and equitable resolution.
3. Refund Eligibility Criteria
Our platform supports clear guidelines to help Clients and Freelancers manage their transactions independently. Refund eligibility is assessed based on specific criteria, with an emphasis on completed or uncompleted project milestones, adherence to project terms, and mutual agreements between parties. While Freelance Arena does not participate in the negotiation or enforcement of refunds, these criteria outline fair expectations for both Clients and Freelancers.
The following factors are considered for refund requests:
(A) Work Progress
Refunds may be eligible only in cases where no work has commenced, or no deliverables have been provided according to agreed project milestones. Refunds are not available for partially completed work. Clients may request a refund solely for unfulfilled project milestones if the Freelancer has not started work or submitted any associated deliverables.
Uncompleted Milestones: Clients can seek refunds for uncompleted milestones. Refunds will only be considered for full milestones that remain undelivered, as Freelance Arena does not support partial refunds.
(B) Adherence to Agreed Terms
Freelance Arena emphasizes the importance of honoring the agreed-upon project terms established between Clients and Freelancers. If a Freelancer does not meet the specifications, quality standards, or deadlines specified in the project contract, Clients may pursue a full refund for undelivered work only. Refunds are not eligible for portions of work that do not meet specifications but are substantially complete.
Specifications and Quality Standards: If the deliverables do not meet the agreed-upon specifications or quality standards, Clients can request a refund for the specific milestones that remain unfulfilled. Freelance Arena does not intervene in the assessment or enforcement of these terms.
Missed Deadlines: Refunds may be sought if a project milestone is not delivered within the deadline, provided that no deliverables were completed. Freelancers are encouraged to communicate any anticipated delays with Clients to maintain a clear understanding of deadlines and expectations.
(C) Mutual Agreement Between Parties
Freelance Arena encourages Clients and Freelancers to communicate openly and come to a mutual agreement when refund requests arise. In cases where both parties agree on a refund outside of any formal dispute process, Freelance Arena respects their consensus and allows them to determine the refund terms independently.
Consensus-Based Refunds: Clients and Freelancers are encouraged to discuss and agree upon refund terms without Freelance Arena’s involvement. This cooperative approach often leads to quicker and more satisfactory resolutions for both parties.
Submission of Agreement: Once a mutual agreement is reached, Freelance Arena will process the refund as per the terms outlined by both parties.
(D) Refund Processing
Refunds that meet the eligibility criteria and are agreed upon by both parties will be processed using the original payment method. To maintain transaction security and consistency, Freelance Arena processes refunds only through the original funding source. Users should allow 7-10 business days for refunds to appear in their account, although processing times may vary depending on their bank or payment provider.
Through these guidelines, Freelance Arena aims to support an independent, fair approach to refunds that respects the efforts of both Clients and Freelancers while upholding a reliable and professional platform environment.
4. Cancellations Due to Violations
Freelance Arena is committed to maintaining a professional and secure environment for all Users. To uphold the integrity of the platform, Freelance Arena reserves the right to cancel projects and withhold or refund payments in cases where policy violations, fraudulent activity, or other abuse of services are identified. Ensuring compliance with these standards protects both Clients and Freelancers and helps foster a trusted, productive community.
- Fraudulent or Misleading Information: Providing accurate information is essential for successful project outcomes. If a User provides false or misleading information that materially impacts the project’s success or payment terms, Freelance Arena reserves the right to cancel the project and, where applicable, process a refund to the affected party. Fraudulent actions undermine trust within the platform, and such cases will be handled promptly to ensure that no User benefits from deceptive practices.
- Unprofessional or Disruptive Conduct: Freelance Arena expects all Users to conduct themselves respectfully and in line with our Terms of Service. Behavior that includes harassment, abusive language, or other harmful conduct toward other Users is strictly prohibited. If such conduct is reported and verified, Freelance Arena may cancel the project, issue a refund, and, if necessary, suspend or terminate the offending User’s account. By taking action on unprofessional behavior, Freelance Arena reinforces a positive, respectful environment where Clients and Freelancers can focus on productive collaboration.

Many issues can be resolved through open communication, and both parties may reach a mutually agreeable solution without further escalation.
- Formal Request: If direct communication does not lead to a resolution, Users can submit a formal refund request through the Freelance Arena platform. Freelance Arena will review each request to ensure it aligns with our policy and the original project terms. A fair assessment of each case will be conducted based on submitted documentation and the specific circumstances of the request.
- Escalation to Dispute Resolution: For refund requests that remain contested, Freelance Arena may initiate the dispute resolution process.
